Departments must follow postal regulations for discounts

Departments that want to continue to receive discounts on first-class postage must comply with the following U.S. Postal Service regulations by July 1. Addresses must be:

*printed by computer or typewriter, not written in script;

*in all capital letters;

*absent of punctuation marks (periods, commas, etc.) except for the dash in nine-digit zip codes; use spaces instead;

*aligned uniformly on the left margin;

*printed in black ink on a white background;

*clear and sharp without touching or overlapping characters; and

*parallel to the bottom edge of the envelope.

Mail that adheres to the guidelines can be bar-coded and read by automated

equipment faster and with greater efficiency than it can by hand. Mail that doesn't meet the guidelines will require full first-class postage.

"If we have virtually all outgoing U.S. mail from campus meeting these mailing requirements as of July 1, University Mail Services will be able to increase the current one-cent discount to two cents per letter," said Herb Paul, Physical Plant director.
